How Commercial Roofing Service Requests Work

What happens from the moment a request comes in through dispatch and confirmation. This page is for facility managers and property teams who want to understand the process before calling.

Step 01

Submit a Request

Call the 24/7 request line or submit the online form. The line accepts calls at any hour. The online form is best for non-emergency situations where you can attach photos of the damage or leak location. Either channel captures the same triage information.

  • Property address and number of buildings or structures involved
  • Roof system type if known — TPO, EPDM, PVC, metal, modified bitumen, or unknown
  • Description of the issue: where the leak is entering, what triggered it, any visible damage
  • Urgency level: active leak during business hours, active leak after hours, storm damage, or scheduled
  • Roof access method: interior hatch, exterior roof ladder, scissor lift or boom lift required
  • On-site contact name and direct number, especially for after-hours situations
  • Any vendor setup requirements your facility imposes: COI naming, W-9, vendor registration

Step 02

Request Triage

Every request is reviewed before a provider is contacted. Triage is not a formality — it determines whether a provider match is likely, what level of urgency applies, and whether there are system or certification constraints that must be addressed before dispatch.

  • Service-area fit: Marion, Hamilton, Boone, Hendricks, Johnson, and Hancock counties are the active coverage zone. Requests from outside are reviewed case-by-case.
  • Roof system match: provider availability varies by system. TPO, EPDM, and flat commercial roofs are the most commonly requested systems. Metal, SPF, and coatings require more specialized matching.
  • Urgency classification: active leaks, storm openings, and water intrusion are reviewed first and routed as emergency requests. Post-storm documentation and planned repairs are scheduled accordingly.
  • Manufacturer certification requirements: some roof systems carry active warranties that require work to be performed by a manufacturer-authorized contractor. If your roof is under a GAF, Firestone, Carlisle, or other manufacturer warranty, note that during intake so certification confirmation is part of the match process.
  • Access conditions: equipment needs, height, parapet configuration, and hours restrictions all affect which providers can respond and how quickly.

Step 03

Provider Match

A match attempt is made based on the triage findings. The goal is to identify a commercial roofing provider who covers the service area, has documented capability for the roof system in question, and has availability that matches the urgency level.

  • Geographic match: provider operates within range of the property location
  • System expertise: confirmed capability for the specific roof type — flat commercial, metal, membrane, foam
  • Schedule and availability: confirmed for the urgency level of the request
  • Certification match when required: manufacturer-authorized status confirmed before dispatch when the request is warranty-governed
  • If no match is immediately available, you will be told directly. We do not confirm a provider and then substitute without notice.

Step 04

Confirmation Before Dispatch

Before any crew arrives at your building, you should be able to confirm each of the following with the dispatched provider. This is not a courtesy — it is standard commercial contractor due diligence, and the provider should be prepared to answer all of it.

  • Provider legal company name — the entity that will be the contractor of record
  • Certificate of Insurance: general liability and workers’ compensation, minimum limits appropriate to your facility and property management requirements
  • Additional insured endorsement on the project COI, naming your property entity, if required by your property management agreement or building owner
  • Expected arrival window — confirmed for that specific dispatch, not a generic SLA
  • Rate structure: hourly, time-and-material, or fixed-bid; after-hours or emergency premium if applicable
  • Scope and deliverable of the initial visit: emergency patch, leak investigation, repair, inspection report, or full replacement scope
  • Manufacturer certifications if the system is under active warranty — confirmed at dispatch, not assumed

Limitations We Don’t Hide

These are not fine-print disclaimers. They are operational realities that affect whether a request can be fulfilled and how.

No same-day SLA guarantees

Emergency response availability depends on provider schedule, weather, daylight, roof safety conditions, and location. Same-day or next-day availability may exist — it is confirmed per request, not pre-promised.

Commercial properties only

This request line does not handle residential roofing, single-family homes, residential shingle replacement, or residential gutter and siding work. If the property is residential, contact a residential roofing contractor.

The site is not the contractor of record

Indianapolis Commercial Roof is a service request and coordination platform. Roofing work is performed by independent commercial roofing providers. The dispatched provider is the contractor of record — confirm their credentials directly before authorizing any work.

Provider availability is not guaranteed for all areas or system types

Coverage is strongest in Marion County and the inner ring of the Indianapolis metro. Specialty systems — spray polyurethane foam, some manufacturer-certified scopes — may have fewer available providers at any given time.

Common Questions About the Request Process

What happens if no provider is available for my request?

You are told directly. We do not assign a provider and then send a different one, and we do not hold a request open indefinitely without updates. If availability changes — because of weather clearing, a provider cancellation that opens a window, or a specialty provider becoming available — you can be contacted.

Does this service handle residential roofing?

No. This line is for commercial properties only — office buildings, warehouses, distribution centers, retail centers, multifamily apartment buildings, manufacturing facilities, schools, healthcare buildings, and similar commercial assets. Single-family residential roofing, including residential shingles and gutters, is not handled.

My roof is under a manufacturer warranty. Does the dispatched provider need to be certified?

Warranty-governed work typically requires a manufacturer-authorized contractor to preserve coverage. When you submit a request that involves a roof under active manufacturer warranty, note that during intake. Certification confirmation becomes part of the provider match criteria. The provider should provide documentation of their certification status before work begins.

Can I request a specific provider by name?

The request line matches to available providers — it is not a marketplace where individual contractors are searchable or selectable. If you have an existing relationship with a provider, the most direct route is to contact them directly.

What rate structure should I expect?

Commercial roofing work is typically billed hourly, time-and-material, or fixed-bid depending on scope. Emergency and after-hours responses typically carry a premium. The rate structure should be confirmed with the dispatched provider before any work begins — not assumed from historical work or a general estimate.

What information does the online form collect?

The form collects property location, roof system, urgency, facility type, on-site contact, and a description of the issue. Submitting photos of the affected area or roof damage through the form significantly speeds triage. Form submissions are reviewed as soon as possible — for active leaks or storm emergencies, calling is faster.
